We are looking for self-driven and motivated Real Estate Office Manager to join our outstanding team.

A real estate Office Manager provides support to the company team to ensure smooth real estate transactions. Responsibilities include managing all paperwork while complying with legal paperwork procedures, scheduling appointments with clients, and acting as a liaison for all involved stakeholders to provide excellent customer service.

Responsibilities:

Act as the point of contact between the managers and internal/external customers.
Provides support to the sales team with day-to-day operational needs.
Prepares daily Leads Report and updating on CRM.
Updates Property portals.
Listing units for the agents on CRM.
Following up updates with agents.
Enters data, prepares reports, general documents & correspondence, and routes documents.
Orders office supplies when needed.
Maintains databases/reports and spreadsheets
Prepares leads file, and receiving daily feedback from the Real Estate Agents
Responsible for receiving the transaction documents from the Agents.
Support the agents in preparing transfers for the DLD.
Closes transactions and ensures all paperwork is provided for the transaction.
Prepares all necessary contracts for agents when required.
Answers phone calls and transfers them to the agents/employee and takes messages if required.
Duties may include, but are not restricted to, running errands, opening and routing incoming mail, preparing outgoing mail, copying, scanning, faxing, and/or filing, writing, typing, or entering information into a computer, preparing, issuing, and sending out a variety of correspondence.
Produces reports, presentations and briefs.
Manages social media marketing (Facebook, Instagram, LinkedIn, etc.)
Professionally greets customers.
Deal with courier agencies: arranges deliveries and pick up of shipments, requesting quotations & negotiating corporate rates, etc.
Organizes and maintains file system, files correspondence, and other records.
Assists in the onboarding process for new hires, entry data.
Performs other related duties as assigned.

Skills and Experience:

Experience with administrative and clerical work Proficiency in Microsoft Office suite
Advanced English level verbal as well as written
Extra languages advantage such as Russian
At least 3 years of experience as an Office Manager (preferably in Real Estate)
Strong Planning and Organizational Skills
Excellent time management skills; attention to detail
Ability to work independently
Expert with all MS Office suite applications
Excellent marketing research skills
Well informed of all related online property advertisement (Property finder, Dubizzle, etc)
Adhere to RERA rules and regulations
Knowledgeable of all real estate related forms/contracts
Minimum 1-year experience in Real Estate is beneficial
Degree in Business Administration (Preference)
Has experience in CRM (Preference)
