Job Description: HR Assistant

Start date: 1st October 2022

Training period– 3 months training (reviewed regularly by Senior HR & Operations Coordinator and COO) continuation of position based on successful and positive feedback. A monthly review will take place during the three-month period to establish goals, feedback and improvement topics.

Scope: You will work closely with the Senior HR & Operations Coordinator of Dr. Roze, your main responsibility will be to ensure Human Resources and operations are to a high standard and being followed, making sure the business is compliant. You will report to Senior HR & Operations Coordinator.

Direct line: Senior HR & Operations Coordinator

Salary: 4,500AED per month

Working Hours: The role is full time (5 days per week) however due to the nature of the role it may be required to be available and online outside of working hours to offer support to Senior HR & Operations Coordinator and COO

Progression: This role can develop into an HR coordinator, depending on the success and confidence put into this new position. You will have the Senior HR & Operations Coordinator and COO as a mentor and will provide guidance along your journey.

Responsibilities

Managing diaries and organising meetings and appointments for COO
Arranging Team building events
Reminding the COO of important tasks and deadlines.
Supporting with gathering data for business development
Liaising with staff, suppliers and clients.
Obtaining renewal contracts in a timely manner and within budget.
Negotiating payment terms of contractors.
Provide monthly report to Senior HR & Operations Coordinator about the attendance of employees and ensuring appropriate action has been taken
Provide RTW template to those who need due to absence and tracking the level of absence and making Senior HR & Operations Coordinator aware so they can action procedure.
Filing and scanning of important documents
Track the performance reviews, induction and probationary reviews of all the team and send report to Senior HR & Operations Coordinator
Be present during disciplinary hearings for note taking
Familarise with DHA, DM, DIFC, MOHRE government
Understand UAE and DIFC Labour law
Arrange cover of Valet drivers and Cleaners
Support COO with adhoc reports and meetings.
Gathering meeting agendas in preparation
Complete a broad variety of administrative tasks that facilitate the COOs ability to effectively lead the organization, including: assisting with special projects, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; maintaining contact lists
Recruitment – Sourcing, arranging interviews, sending offer letters.
Prepare salary cert, NOCs and other employee requests
Track annual leave and send report monthly of leave outstanding for all team members
Track unpaid leave, sickness, and compensatory off accrual
Work with PRO to get new visa and renewal of visa
DHA renewal license of employees
Inputting CME points for Dr’s on to DHA portal
Work permits for all employees new and renewals
Track expiry dates of contracts and inform Senior HR & Operations Coordinator of all pending expiry dates
Being and advocate for Dr. Roze brand and ensuring all employees adhere to HER at the same time having authority to implement sanctions when not.
