SUMMARY:

The Clinic Manager works at the core of Clinic Management and Customer Care with a strong

understanding of administrative, operational and financial management. The qualified individual should be

results-oriented and adhere to meticulous protocols set by the organization. The qualified individual is

responsible for managing operations including but not limited to: administrative duties, budget development

and management, stock management, patient management and flow, developing policies and procedures,

recruitment and onboarding, program development, quality improvement activities and marketing

responsibilities for the center.

ROLE AND RESPONSIBILITIES:

1. OPERATIONAL MANAGEMENT:

✔ Oversee day-to-day operations, ensuring the clinic runs efficiently & provides high-quality patient care.

✔ Develop and implement operational policies and procedures to enhance clinic productivity.

✔ Manage patient scheduling, appointment bookings, and overall clinic workflow.

✔ Manage team scheduling to ensure smooth operational workflow

✔ Ensure patient medical records are kept up to date.

2. STAFF SUPERVISION AND DEVELOPMENT:

✔ Recruit, train, and supervise clinic staff, including administrative personnel, and support staff.

✔ Support the Medical Lead in recruitment of physical therapy stuff

✔ Conduct regular performance evaluations and provide constructive feedback.

✔ Hold weekly staff meetings to ensure alignment, awareness and address concerns.

✔ Foster a positive and collaborative work environment.

3. PATIENT RELATIONS:

✔ Ensure excellent customer service and patient satisfaction through effective communication and

problem resolution.

✔ Implement strategies to enhance patient engagement and retention.

✔ Address patient inquiries and concerns in a timely and professional manner.

4. FINANCIAL MANAGEMENT:

✔ Work closely with the Board to prepare and manage the clinic's budget effectively.

✔ Drive revenue growth by setting quarterly sales targets for the clinic to achieve a positive ROI. This will

entail breaking down these targets into achievable monthly/weekly goals for the team

members/physiotherapists, closely monitoring their progress, and providing support where needed to

ensure targets are met.

✔ Monitor and analyze financial reports, identifying areas for improvement and cost-saving

opportunities.

✔ Work closely with third-party insurance administrator to ensure workflows and turnaround time are

seamless and effective for patient recruitment and retention, whilst ensuring payment terms are met.

5. REGULATORY COMPLIANCE:

✔ Ensure the clinic complies with all relevant healthcare regulations and standards.

✔ Stay informed about changes in healthcare policies and implement necessary adjustments.

6. INVENTORY AND SUPPLIES MANAGEMENT:

✔ Oversee the procurement of clinic supplies and equipment, ensuring adequate stock levels.

✔ Manage the devices/equipment and coordinate maintenance.

7. QUALITY ASSURANCE:

✔ Support the clinical team to implement and monitor quality assurance programs to uphold clinical

standards.

✔ Collaborate with therapists to continuously improve patient outcomes and satisfaction.

8. BRAND ORIENTATION:

✔ Develop and conduct comprehensive orientation programs to familiarize all clinic staff with the clinic's

unique brand and core values.

✔ Ensure that all team members embody the brand identity in their interactions with patients and in the

delivery of services.

✔ Collaborate with marketing and communication teams to disseminate consistent brand messaging

across all touchpoints to increase clinic visibility and attract new patients.

✔ Monitor and reinforce adherence to brand standards, both in the physical clinic space and in digital

and print materials.

✔ Foster a culture that aligns with the clinic's brand values, promoting a positive and unified team

identity.

9. COLLABORATION WITH MEDICAL LEAD:

✔ Establish and maintain a strong collaborative relationship with the Medical Lead to ensure seamless

coordination between clinical and administrative functions.

✔ Participate in regular meetings with the Medical Lead to discuss clinic operations, patient care, and

staff performance.

✔ Collaborate on the development and implementation of clinical protocols, quality assurance measures,

and adherence to evidence-based practices.

✔ Facilitate communication between administrative staff and clinical practitioners to address any

operational or patient care challenges.

✔ Work closely with the Medical Lead to align clinic activities with the overall strategic goals and vision

for patient care.

✔ Support the Medical Lead in the recruitment and onboarding of clinical staff, ensuring the team

reflects the clinic's commitment to excellence.

✔ Assist in the planning and execution of educational programs for staff to stay updated on the latest

advancements in physiotherapy.

✔ Collaborate with the Medical Lead to develop strong referral relationships with healthcare providers and identify opportunities for collaboration with gyms, fitness studios, sports teams etc to promote the

clinic's services.

✔ Work together to address challenges, optimize workflow, and enhance overall clinic performance.

✔ Work together to ensure all patient records are comprehensive and always up to date.

10. REPORTING AND COMMUNICATION:

✔ Develop and implement a robust reporting framework to regularly update the Board on the clinic's

progress, key performance indicators (KPIs), and financial metrics.

✔ Prepare comprehensive reports highlighting successes, challenges, and opportunities for improvement,

providing actionable insights.

✔ Present regular updates during board meetings, offering a clear and concise overview of clinic

operations, financial performance, and patient satisfaction.

✔ Collaborate with the Medical Lead to gather data and insights, ensuring a holistic understanding of

clinic performance.

✔ Identify trends, benchmarks, and industry best practices to inform strategic decision-making.

✔ Communicate learnings from patient feedback, staff input, and market research to contribute to the

clinic's continuous improvement.

✔ Work closely with the accounting staff to provide accurate and timely financial reports, including

budget variances and forecasting.

QUALIFICATIONS AND SKILLS:

5+ years prior experience working and proven success in healthcare or similar setting.
Exceptional written and verbal communication skills.
Strong sales and business development abilities.
Analytical thinking skills and the ability to exercise sound judgement when making decisions.
Must be customer service oriented and prepared to liaise with patients, their families and other care
providers.
Extremely organized and detail oriented.
Ability to delegate tasks as needed.
Knowledgeable in EMR and CRM.
Knowledge of Arabic is an asset.
