About the Finance Team
Ceres’ Finance department is responsible for financial reporting and analysis that allows Ceres to pursue its mission. This includes providing actionable data and strategic analysis for financial decision making, ensuring financial transparency through internal and external reporting, and protecting the organization’s financial assets by mitigating risks through internal controls, policies, and procedures.
About the Role
The Accounting Associate is a key member of the Finance team in its efforts to support the organization’s program activities. While the day-to-day work includes a significant amount of information gathering and data entry, there will be ample opportunity to help shape and implement financial policies and procedures.
This full-time, non-exempt role reports to the Controller and can be performed from the Boston, MA office (preferred) or remotely. Candidates must be flexible to work with employees in all US time zones.
Primary responsibilities include but are not limited to:
Staff Support
• Serve as a resource to Ceres staff, contractors, and sub-grantees to distribute and explain materials related to finance policies and procedures.
• Serve as a resource to Ceres staff for Emburse Expense Management and Emburse Travel; responsible for making administrative changes and updates in Emburse related to staffing changes and finance policies. Perform any necessary follow up for missing or incomplete information.
• Maintain current finance policies on the finance team page on Ceres’ SharePoint intranet site.
• Onboarding and training new staff on finance policies and procedures.
Accounts Payable
• Review staff credit card expenses and staff reimbursement requests through Emburse Expense Management system. Check financial coding, ensure finance policies have been met, and approve expenses for integration into the Intacct accounting system.
• Collect, submit, and process invoices from vendors through the AVIDxChange system.
• Enter applicable journal entries into Intacct, including Prepaid or Accrued entries, to be reviewed by the Controller.
• Initiate ACH and wire payments to vendors.
Vendor and Contract Management
• Onboard all new vendors in Intacct; performing any necessary follow up for missing or incomplete information.
• Monitor the contract application portal, reviewing all data fields for accuracy and completeness and following up with staff as needed on missing information and approvals.
• Initiate final contract signatures through electronic signature system.
• Assure all signed contracts are loaded into the contract application system and logged in Salesforce.
Accounts Receivable
• Monitor daily bank remittances, categorizing, and recording the deposits in Intacct.
• Perform monthly reconciliation of contributions and grants received with the Individual Giving team.
Budget Reporting
• Schedule monthly budget to actual meetings with budget managers and finance team.
Administrative
• Assist the Controller in gathering information and preparing schedules for the annual audit, as requested.
• Update monthly finance priorities on the Finance homepage.
• Research and update financial information for Network Members using the Bloomberg Terminal.
• Schedule grant projection meetings and Finance Committee meetings.
• Provide support to Chief Financial and Administrative Officer.
• Other projects as assigned.
Qualifications
• Bachelor’s degree or commensurate experience required.
• Minimum of two (2) years of full-time professional experience required.
• Working knowledge of accounting, bookkeeping, business, or related discipline highly preferred; Accounts Payable experience a plus.
• Emburse Expense or other expense management systems experience and proficiency in Intacct a plus.
• Strong written and verbal communications skills, well organized, and detail oriented.
• Ability to work both independently and as part of a team, in a fast-paced environment.
• Ability to handle and prioritize multiple tasks in order to meet deadlines.
• Highly proficient with Microsoft Office Suite, particularly Outlook, Excel and PowerPoint. Knowledge of or willingness to be trained on specific applications necessary for success including Salesforce and other data systems as needed.
• Sound judgment, a high degree of integrity and professionalism, with an ability to maintain discretion, confidentiality, diplomacy, and courtesy in all contacts.

Compensation and Benefits
The hiring salary is $50,600 – $60,150 with competitive benefits (Pay Grade 12).
