Receptionist Required in Dubai
The ideal candidate is a detail-oriented team player who will be the first point of contact for visitors at the office, greeting them in a polite and well-spoken manner. The Assistant\ Receptionist provides a high level of administrative and operational support to the team including reception, general administrative, organizational, and department-based work.
Position Description & Responsibilities:
Maintaining reception area and all common areas in a clean and tidy manner at all times.
Meeting and greeting visitors in a warm and friendly manner and delivering exceptional customer service assistance.
Addressing visitor questions and needs and providing an overall welcoming environment.
Answering phone calls in a polite and friendly manner and fielding them appropriately.
Keeping detailed and accurate records of visitors.
Receiving office deliveries; sorting and distributing them appropriately.
Performing general clerical duties to include but not limited to photocopying, faxing, mailing and filing.
Administrative and clerical assistance to multiple teams.
Coordinating and maintaining records for the teams, office requirements and visitor badges.
Coordinate and setup meetings and conferences, i.e., booking meeting rooms, preparing required stationary, organizing meeting agenda, ordering catering … etc.
Ordering and maintaining office general stationery and equipment supplies.
Travel organization and bookings for team members/ visitors and customers (VISA, taxi, tickets, hotels).
Monitoring team compliance with company standards, procedures, and work instructions.
Supporting improvement of company standards, work processes, document templates and tooling.
Providing administrative support to the Human Resources Team: i.e., adding/removing members to the insurance programs, organizing office events and celebrations, coordinating induction programs for new joiners.
Acting as point of contact for office facility management (office internal fit out, building facility management, office & equipment maintenance …etc.)
Acting as extended arm for the IT function: i.e., ordering new and replacement laptops, facilitate computers configurations, maintain stock of IT consumables … etc.
Performing ad hoc administrative duties as needed.
Qualifications + Profile:
UAE National is preferred
Hold a University/college degree.
2-3 years of relevant experience in an office environment.
Demonstrate ability to read, write, and speak English fluently.
Previous experience with Microsoft Office software packages.
Friendly, extremely organized, and comfortable multi-tasking and prioritizing tasks without guidance.
Must be able to work in a multinational working environment.
Punctual with strong attendance history.
