Overall Purpose of the role

IT manager is responsible and accountable for the smooth running of computer systems within the limits of requirements, specifications, costs and timelines. He is supervising the implementation and maintenance of company’s computing needs.

Key Objectives

Leading the IT function of an Architectural business.
Managing all information technology and computer systems
Controlling and evaluating IT and electronic data operations
Support the office with IT requests, issues, and provides fast, efficient and strategic solutions.
Proactively keeping the practice at the forefront of technological capability for the efficient working of the team.
Devise plans to protect the integrity of the company, clients and vendors systems.
Managing and leading on the best return on investment procurement and methods.
Develop and implement a cost-effective document management system.
Manages the design and implementation of an integrated intranet system for all departments.
Develop and implement IT training matrix for all team members.

Expectations & Responsibilities related to your role

MANAGE INFORMATION TEHNOLOGY AND COMPUTER SYSTEMS
Quickly troubleshoot, diagnose and resolve daily issues with computers and networks so that business experiences as little downtime as possible.
Resolve day to day IT issues in house or coordinate with IT Specialist if required.
Provide technical support for systems and networks to team members as required.
Ensure security of data, network access and backup systems
Design, develop, implement and coordinate systems, policies and procedures
Install and configure software and hardware.
Diagnoses issues when computers or other technologies are not working as they should.
Establish various guidelines for evaluating the IT systems and determining where changes should be made.
Develop and implement the IT plan and train the individuals who will need to use it.
Develop, implement and manage all telephony systems.
Authors the Company IT policy and updates on a regular basis along with regular audits.
Lead on all OA/OC internal and external audits.
Prepare and report against them.
CONTROLLING AND EVALUATING IT AND ELECTRONIC DATA OPERATIONS
· Audit systems and assess their outcomes

· Works with management and other departments to implement a successful IT plan.

· Identify problematic areas and implement strategic solutions in time

· Manage Data storage.

· Manage Backup system and monitoring backup schedules.

· Maintain software license and upgrades.

· Prepares regular reports for management officials; attends meetings to present these findings.

· Preserve assets, information security and control structures

· Assists in budgeting for IT expenses, including the purchase of new equipment and software when necessary.

· Regularly file reports on the functioning of the systems and department.

· Prepare KPI’s and report against them.

3. SUPPORTS THE OFFICE WITH IT REQUEST, ISSUES AND FAST AND EFFICIENT SOLUTIONS PROVIDING

· Act in alignment with user needs and system functionality to contribute to organizational policy

· Forms strong bonds with equipment manufacturers and service providers so that issues can be resolved more efficiently.

STAKEHOLDERS AND BD
Follows X-Architects on social media, reads updates and shares publicly available posts and events
Under supervision manages client expectations and demands, engages with client’s staff at the same level to articulate project design
Leads other staff members to follow X-Architect design and brand guidelines and procedures.
Respects client confidentiality and obtains management approval before sharing images and work they are working on
Fills in and submits timesheets in a timely manner, and observes attendance procedures
Risk Management – participate in compilation of risk register and risk management plan for project. Ensure that the risk register is reviewed regularly at team meetings and updated. Assist the associate / other seniors in updating and mitigating risks throughout the life of the project.
Where practical become involved in as many studies, investigations, coordination meetings and design workshops as possible

Person Profile

Education and Training

Degree educated – Bachelor with a technical major, such as engineering or computer science or similar
Excellent communications (verbal and written) skills.
Outstanding interpersonal skills.
Excellent organizational skills.
Advanced MS Office skills, familiarity with Adobe and Autodesk software.
Excellent command of written and spoken English.
· Microsoft Systems Administration/System Engineer certification will be an asset

Experience

Previous experience as IT Coordinator, Executive
Proven experience supporting mid to big size team.
Has experience in Intranet / computer network for sharing information, easier communication, collaboration tools, operational systems, and other computing services within an organization, exclusion of access by outsiders.
Expert knowledge of IT best practices, policies, and regulations.
Industry Experience – preferably reputable architecture practices, engineering, or consultancy office
Years worked following graduation – minimum 4 years
