Executive Secretary - Dubai
We’re hiring an Executive Secretary to provide high-level administrative support to the CEO at our Business Bay office. This is a full-time position offering a monthly salary in the AED 3,000–4,000 range. Preference will be given to Filipino nationals.
• Reports to: CEO and serves as the main coordinator for the executive office.
• Calendar & Meeting Management: Organize and prioritize the CEO’s schedule, arrange meetings, coordinate logistics, and manage any necessary travel arrangements.
• Cross-Department Coordination: Set up and manage departmental meetings with Project Managers, the Business Development team, HR, and Finance; prepare and circulate agendas and pre-reading materials.
• Task Follow-up: Track action items assigned by the CEO, follow up with responsible parties, and ensure timely completion.
• Correspondence & Documentation: Draft and refine formal correspondence, internal reports, and business presentations for executive review.
• Records & Confidentiality: Maintain accurate records and confidential files, ensuring discretion and secure handling of sensitive documents.
• Minutes & Follow-ups: Prepare meeting minutes, distribute them promptly, and manage follow-up communications with stakeholders.
• Stakeholder Liaison: Communicate with internal teams and external contacts on behalf of the CEO as required.
Requirements:
• Bachelor’s degree with 3–5 years of relevant executive support experience.
• Advanced MS Excel skills (including PivotTables, VLOOKUP, HLOOKUP).
• Strong MS PowerPoint ability to create professional charts and business presentations.
• Excellent drafting, written, and verbal communication skills.
• Highly organized, professional demeanor, and proven ability to handle confidential information discreetly.
