About the position:
The Clinic Administrator will lead the day-to-day administrative operations of the Americares Free Clinic in Stamford. Reporting to the Senior Director, Clinic Operations, this role combines operational oversight, staff leadership, and process improvement to ensure patients receive safe, efficient, and compassionate primary care. The Clinic Administrator partners closely with clinical leaders to align administrative workflows with clinical needs and to uphold regulatory and quality standards.
Key Outcomes:
In the first 90 days:
• Complete all Americares new-hire orientation and mandatory compliance trainings.
• Demonstrate alignment with Americares values through daily interactions (as evidenced by peer/supervisor feedback).
• Review current SOPs, policies, and regulations and identify any clarifications or quick wins.
• Observe front-line workflows by shadowing Patient Care Coordinators, clinical staff, and providers.
• Gain working proficiency with ATHENA EHR and UKG (basic navigation and reporting).
• Hold introductory 1:1 meetings with direct reports and key leaders.
• Help onboard volunteers and establish clear communication channels for clinic staff.
In the first 6 months:
• Deliver at least two process improvements that simplify administrative or clinical workflows.
• Create and begin executing a plan to grow unique patients and patient visits.
• Standardize eligibility and income verification across Patient Care Coordinators.
• Ensure ≥90% accuracy in claims processing and Visit Outcome Summary (VOS) completion in ATHENA.
• Maintain daily schedule coverage with ≤5% unscheduled gaps.
• Pilot outreach or monitoring initiatives to reduce no-shows/cancellations by ~5%.
• Complete a safety drill with full staff participation and implement follow-up actions.
• Provide initial performance feedback and development goals for direct reports.
In the first year:
• Maintain ≥95% accuracy in claims, VOS, and compliance documentation.
• Participate in at least two measurable Quality Improvement initiatives.
• Drive measurable provider productivity gains (e.g., 5–10% more visits/provider/month).
• Strengthen community partnerships and referral flows in collaboration with the Executive Director.
• Keep staff turnover ≤10% through engagement and development efforts.
• Ensure direct reports meet performance expectations and document improvements in cross-team collaboration.
• Achieve 100% compliance on external inspections and complete the annual operations plan aligned to Americares goals.
Duties and Responsibilities:
Clinic Operations Management
• Help develop, maintain, and implement SOPs that support consistent clinic operations.
• Align administrative and clinical teams with organizational goals and priorities.
• Oversee patient care coordinators and clinical support staff to optimize workflows and patient experience.
• Manage eligibility verification, patient assistance programs, donation usage, and medication purchasing.
• Support scheduling template adjustments with providers to improve access and throughput.
• Maintain supply and medication inventories and the clinic referral log.
• Manage administrative components of ATHENA EHR, including claims and visit documentation.
• Actively contribute to the Quality Improvement program and provide operational data as needed.
Staff Scheduling and Coverage
• Create and maintain daily and PTO schedules to ensure consistent coverage and efficient patient flow.
• Monitor no-shows and cancellations and implement tactics to improve utilization.
• Oversee time and attendance processes (UKG).
Facility Management
• Ensure the clinic environment is clean, safe, and welcoming; oversee maintenance, signage, and equipment checks.
• Coordinate safety drills, fire inspections, and facility-related regulatory requirements.
• Troubleshoot basic IT and telephone issues or escalate appropriately.
Staff Leadership and Supervision
• Supervise and mentor the Associate Director of Nursing and other direct reports, fostering administrative–clinical collaboration.
• Support volunteer recruitment and community outreach as part of clinic representation.
• Promote continuous learning, competency development, and a culture of safety and quality.
• Enforce clinic policies and support clinic growth strategy execution.
Hiring and Onboarding
• Partner with People & Talent and clinical leadership on hiring, onboarding, and training for administrative staff and volunteer roles.
• Design onboarding schedules that align with clinic procedures and values.
Regulatory Compliance
• Coordinate licensing renewals, inspections, and ongoing regulatory readiness activities.
• Ensure staff complete required safety and compliance trainings and participate in periodic drills.
Degrees and/or experience required for the role:
• Bachelor’s degree in healthcare administration, business administration, or a related field preferred.
• Minimum 5 years’ experience in a clinical or healthcare setting, including at least 3 years in a supervisory or management role.
• Demonstrated experience with medical office operations, staff leadership, and clinic workflows.
Required competencies:
• Strong leadership and team-building capability.
• Excellent organizational, prioritization, and time-management skills.
• Experience with electronic medical records (ATHENA preferred) and productivity/reporting tools.
• Inventory management experience for medications and medical/office supplies.
• Strong interpersonal, communication, and conflict-resolution skills.
• Commitment to serve vulnerable populations and to supervise volunteer staff.
Nice to have:
• Fluency in Spanish.
• Prior experience in volunteer-driven clinical settings or free clinics.
