Job Title: Assistant Document Controller
Location: Dubai, UAE
Position Overview:
We are seeking an organised Assistant Document Controller to join our team. The Assistant Document Controller will play a crucial role in managing project documents, ensuring accuracy, accessibility, and compliance with company requirements.
Key Responsibilities:
• Establish a uniform document/drawing numbering system in line with company norms.
• Set up project folders, manage folders, formulate registries, and allocate document and drawing numbers.
• Liaise with project teams and external parties to distribute project-related information.
• Assist the Project Manager during audits and as needed.
• Prepare ad-hoc reports and templates on projects.
• Process and control all project document types accurately and timely.
• Maintain quality documentation such as documents, drawings, RFIs, material submittals, and registers.
• File documents in physical and digital records and ensure appropriate storage.
• Adhere to company's document lifecycle procedures and processes as directed by the Project Manager.
• Communicate changes to document control procedures to the project team.
• Assist in implementing new and improving Document Management systems and processes.
• Train employees on the project documentation system.
• Maintain confidentiality of sensitive documentation.
• Collaborate with the Senior Document Controller as required.
Skills:
• Proficiency in Aconex Software, MS Word Programs, and SharePoint.
• Strong organizational and time management skills.
• Excellent communication and interpersonal abilities.
• Attention to detail and accuracy in document management.
• Ability to work both independently and collaboratively.
• Prior experience in document control or similar role preferred.
